Request recorded information from the council

You have the right to request access to personal information held by Nottingham City Council about yourself and in certain cases someone else under the Data Protection Act 2018 and United Kingdom General Data Protection Regulations (UK GDPR). This is often known as a Personal Information Request (PIR) or a Subject Access Request (SAR).

Examples of previous PIR and SAR requests include:

  • Access to my social care records
  • Access to my employment records
  • Access to CCTV regarding a car accident I was involved in
  • Access to my Children’s safeguarding records

You also have a right to request access to generic recorded information held by Nottingham City Council that is not your personal information under the Freedom of Information Act 2000 (FOI) and for information that affects the environment under the Environmental Information Regulations 2004 (EIR).

Examples of previous FOI and EIR requests include:

  • Provide information regarding a decision made by the council
  • Provide details regarding a supplier contract with the council
  • How much did it cost to implement a decision or activity?
  • How much waste is recycled?
  • How many parking tickets were issued in a specific area?

Before we can progress your request we need the following information from you:

  • Your full name (and any previous names you have been known by)
  • Your date of birth
  • Your address (email address and telephone number are also useful)

To ensure we protect everyone right to privacy, we also require the following:

  • Proof of your identity
  • Proof of your address
  • Proof of any previous names you have been known by (if applicable)
  • Details regarding your early life (only if you are requesting your social care file from when you were ‘in care’)
  • Letter of verification by a person of standing (a professional body or a respected society member, such as a teacher or lawyer)

Before we can progress your request we need the information from you.

Please note that we are only able to accept original or countersigned copies of documentation you provide to us as evidence. We are unable to accept non-countersigned copies or photographs of documents.

Please provide the information as soon as possible as we need it in order to progress your case.

If we do not hear from you within 28 days we will assume you no longer wish to receive the information and your case will be automatically closed.

If you are requesting a child's information 

Before we can progress your request we need the following information from you:

  • A clear description of what information you are requesting
  • Your full name
  • Your address (an email address and telephone number are useful)
  • Your child’s full name (and any previous names they have been known by)
  • Your child’s date of birth
  • Whether your child was adopted

If you are requesting an adults information

Before we can progress your request we need the following information from you:

  • A clear and specific description of what information you are requesting
  • Your full name
  • Your address (an email address and telephone number are useful)
  • Name of the data subject* (and any previous names they have been known by)
  • The data subject’s date of birth
  • Your relationship to the data subject

* The data subject is quite literally the subject of the data, e.g. the person whose personal information you are requesting.

Information about deceased individuals is not covered by any right of access under the UK General Data Protection Regulations (UK GDPR) or the Data Protection Act 2018 as personal data as defined in section 1(1) of that Act only relates to living individuals.

Unless any other statutory basis for accessing the information can be provided, the council can only consider requests regarding deceased individuals under the Freedom of Information Act 2000.

Your request must include:

  • Your Name
  • An email or postal address for correspondence
  • Details about the deceased party such as name, date of birth, date of death, address
  • A description of the recorded information about the deceased party you require access to
  • Evidence you have a legal entitlement to access this information (see attached PDF for further information)

Can I access my CCTV footage?

You have the right to request access to CCTV footage with your image, recorded using CCTV cameras owned and operated by the council.

The majority of CCTV footage is only retained for a very short period of time.

To make a request, please contact the CCTV Woodlands team via CCTV Media Nottingham city or call 0115 876 2275 (Monday to Friday 8am to 4pm).

Please provide the location of the incident, date, time and description of information required. If it’s an accident involving a vehicle please provide a description of vehicle(s) involved including registration number(s).
